I'M A SCOUT LEADER
As a leader, register with a generic email address on app.photoscout.be. Then create your first gallery (e.g. "Summer Camp"). All that's left to do is add the photos (with or without the help of your co-volunteer)!
Once your gallery is complete, you can create a souvenir album in 1 click. Parents can then order it and we'll deliver your albums to your home!
NB: parents have access to all the photos you import. You can invite them to the gallery at any time.
I'M A PARENT OR A YOUNG
If you're a parent, the leader or co-volunteers will send you a secret code so you can sign up to PhotoScout and join the photo gallery! You don't have to do anything but enjoy it 😎
No, PhotoScout can be used at any time of year!
We know that camps are the incredible culmination of a busy year, and they deserve to be remembered!
The most motivated leaders even create several galleries: those of the weekly meetings, the sleepover/weekends and, of course, the summer camp! Each gallery can be concluded with the purchase of a souvenir album.
No, you can import up to 800 photos per gallery, no matter how much space they take up.
What's more, the better the quality of your photos, the better the final printed souvenir album will look. Think about it when you take photos of your scouts!
You can import up to 800 photos per gallery.
This number has been determined by several factors:
⚜️ With the opinion of the scouts leaders: if you take out the missed photos and the duplicates, it's rare to get more than 800 quality photos after a camp or a scout year.
👨👩👧 With the opinion of the parents: viewing +800 photos to find photos of your child, that's a long time! Their motto: Quality > Quantity!
🛠 For technical reasons: PhotoScout's lifeblood is the sale of printed albums that we want to be of high quality and affordable. If there are too many photos and therefore too many pages, the album becomes impossible to print and too expensive.
Do you have more than 800 photos to share, even after sorting them? You can create unlimited additional galleries!
We do not compress images. On the contrary, the quality of the photos is essential if they are to remain high quality both when downloaded and when printed!
Of course you can! You can easily download photos one by one, thanks to the enlarged view.
It's a practical way of viewing all the photos in the gallery but selecting only those that really interest you. The photos are not compressed, so their quality is not compromised!
No: PhotoScout can be accessed via computer, tablet and smartphone, with or without our app. To access PhotoScout without the app, go to app.photoscout.be via your browser!
We have developed an innovative tool that automatically creates souvenir albums based on the digital gallery. Once validated, the album becomes visible to parents and available to order for all gallery members!
To find out more about how this tool works, check out this article: "Creating PhotoScout albums like a boss"
No, you can create as many galleries (and therefore albums) as you like.
The most motivated leaders even create several galleries: those for the weekly meetings, the weekends / sleepovers and, of course, the summer camp! A gallery (and therefore an album) can contain a maximum of 800 photos (which means you'll have to do a little sorting and choose quality over quantity!).
A PhotoScout album contains all the items in the gallery: titles, photos and descriptions.
The items are organised chronologically:
Moment 1: Title 1 + Description 1 + Photos from Moment 1 in order
Moment 2: Title 2 + Description 2 + Photos from Moment 2 in order
Moment 3: Title 3 + Description 3 + Photos of Moment 3 in order
And so on.
The more complete and qualitative your gallery is, the more beautiful your printed album will be!
The platform is completely free. Our aim is to make it easier for scouts leaders and parents to share photos, and to offer them an easy and secure way of (re)experiencing good memories through an album.
The PhotoScout project is funded by the sale of albums. We therefore take a margin on each album sold, while paying part of this to the leaders in order to finance their scouting activities. This paid printing service is optional, which means that you can use PhotoScout without any obligation to buy.
Our project is entirely funded by the sale of souvenir albums, which include all the photos in the gallery. The price of the albums depends on the number of pages, which in turn is determined by the number of photos.
The albums are created automatically by our algorithm. This ensures that the number of pages in each album is kept to a minimum, making them accessible to as many people as possible. Volunteers can choose to reduce or increase the number of photos per page to determine the final price!
This table gives you an idea of the price of the albums :
* This price includes development, printing, delivery and a net amount paid directly to the volunteers to support their activities.
Our project is entirely funded by the sale of souvenir albums, which contain all the photos, titles and descriptions in the gallery. The price of the albums depends on the number of pages (and therefore the number of photos). The price includes :
Of course you can! Our solution is dedicated to any group of young people or children, whether they are scouts, holiday camps, cadets, etc.
Our solution is aimed at all group leaders who need to easily store and share photos with young people and their parents.
If photos of your child/children appear in one of the galleries, the leaders wills send you a 8-character secret code.
If this is your first visit to PhotoScout, you will need to create an account as a parent on app.photoscout.be/signup and enter the secret code.
If you already have an account, you can easily join the new gallery by going to the “Galleries” tab, then “Access a new galley” and entering the secret code.
Of course! Once you’ve registered on PhotoScout as a Parent or Co-volunteer (and therefore once you’ve joined your first gallery), you just need to go on the “Galleries” tab, then “Access photos from another gallery” and enter the secret code.
You can switch at any time from one gallery to another in the “Galleries” tab.
Our tool is designed to be collaborative: this means that all members of a staff deserve their place on it! Once the Scout leader has created a gallery, he or she can invite his or her co-volunteer to join.
The Co-Volunteers can...
✅ Create and modify moments
✅ Add photos
✅ Create a photo album preview
✅ Invite Parents
But they can't...
❌ Confirm the photo album
❌ Create new galleries
❌ Invite other Co-hosts
The Big Boss remains the Scout leader (connected with the generic section/unit email) but managing and sharing photos can be a task shared by all volunteers!
It is not yet possible to delete your PhotoScout account yourself.
We'll take care of it for you in just a few minutes. To do this, contact the PhotoScout team by email, quoting your login email.
You can then create a new account by clicking on the invitation link sent by the moderators.
The first person to create an account for the section is named "Scout Leader". If more than one person has created an Scout Leader account (with different addresses for the same section), please contact our team by email, quoting the login emails of the accounts you wish to delete.
Tip from PhotoScout: the easiest way is to create a Scout Leader account with a generic email address (e.g. beavers@londonscouts.uk ) rather than your personal address. The aim is for the account to last year after year without being linked to a specific individual. Is this not the case? Change this information in the "Account" tab!
Animators who join the gallery with their personal address then take on the role of co-volunteer!
It’s up to you ! Once you give access to the parents, they can view all the photos in the gallery. To invite parents, click on “Invite parents”. You will then find the invitation text and the secret code.
Both the Scout Leader and the Co-volunteers can invite parents.
Here is an example of an invitation message:
“Dear parents,
To easilyshare our photos (from camp, weekend, meeting, etc.) in one place, we use PhotoScout!
If you do not have a PhotoScout account : go to app.photoscout.be/signup and create a parent account by entering the following secret code "Insert secret code".
If you already have a PhotoScout account, go to the Galleries tab then Access photos from a new gallery and enter the following secret code "Insert secret code
PhotoScout is a free, secure platform that not only makes it easy to share photos, but also offers a photo album printing service. In just one click, you can order our photo album (part of the profits from which go directly to support our activities): a great way to support the project while reliving those good times!
If you have any questions about this tool, don't hesitate to contact the PhotoScout team. You can also visit their website (photoscout.be/je-suis-anime/) for more information.
We look forward to sharing our photos with you!
We look forward to seeing you soon,
The leaders”
Only the Scout Leader can invite other hosts to join the gallery as co-volunteers. To do so, they must click on “Invite co-volunteers”. From there, they can share the secret code to give them access to the gallery!
Here’s an example of an invitation message :
“Hi!
To easily share our photos (from camp, weekend, meeting, …) in one place, we use PhotoScout. Join our gallery as a co-volunteer to add more photos, organise them and invite parents to view them!
By creating a co-volunteer account and entering the secret code "Insert secret code", I'll give you secure access to a photo gallery.
See you on PhotoScout!”
There are 3 types of profile on PhotoScout:
THE SCOUT LEADER
The Scout Leader is the person who created the section account.
Tip from PhotoScout: we advise you to enter the generic address (e.g. beavers @ londonscouts.uk) rather than your personal address when you register, so that the account can be easily passed on from year to year.
He is the Big Boss and can do absolutely everything, in all the galleries: invite parents, co-volunteers, add photos, modify moments, create the album, validate it, order it, create other galleries, etc.
THE CO-VOLUNTEER
The co-volunteer is there to help manage the gallery. They can invite parents, add photos, modify moments, create a souvenir album, .... However, they cannot validate the album or invite other co-volunteers. Nor can they create new galleries!
THE PARENT
Parents are living their best life. It's true! They're there to look at the photos, read the descriptions of the highlights and, if they want, order the souvenir album. Peace of mind!
THE ADMIN
We lied, there's a fourth and final type of profile, ultra select but ultra stylish: the Admin. I'm teasing you a little too much: the Admins are us, the PhotoScout team! Do you want to be one? Send us your CV and we might be able to find you an internship!
Once the leaders have approved the souvenir album, it can be ordered. Go to the Album tab > Order the album. You'll be redirected to our secure payment environment, where you can choose your preferred method of payment.
Good to know: PhotoScout albums can be ordered at any time throughout the year. They are printed once a month.
Once you've placed your order, you'll receive a confirmation email.
The albums are delivered directly to a leader around the 15th of each month. He or she will distribute them personally. Contact the leaders to be informed of the redistribution date!
Based in Belgium, we deliver anywhere in the world at no extra cost.
Only people invited by the leaders have access to the photos in the gallery and therefore to the album. The volunteers can control the access list and request the removal of a member (co-volunteer or parent) at any time.
PhotoScout has put in place strict security policies, rules and measures to protect your information and photos. They will never be shared, disclosed or sold to a third party.
The data will never be divulged, sold or shared with a third party and is only used by PhotoScout for order management and tracking purposes.
PhotoScout is a spin-off from Tribu (www.mytribunews.com), a brand specialised in photo sharing and printing with a database of over 150,000 customers. We know all about complying with GDPR laws!
PhotoScout was created for just this purpose. Until then, there was no sufficiently reliable platform dedicated to photo sharing for children's groups (such as Scouts).
Unlike 'free' services (Drive, WeTransfer, Facebook, etc.) that sell your data and/or use it for advertising, PhotoScout is financed by the (optional) sale of photo albums. This clear and transparent profit model guarantees the confidentiality of your data. Security is ensured by login and password protection, and parents can request that photos be removed.
We're not new to this: PhotoScout is a product derived from Tribu (www.mytribunews.com) which follows the same standards of confidentiality and security for over 150,000 users.
As former Scout Leaders, we found that sharing photos between parents and volunteers was complicated, as was immortalising memories:
>Photos often remain in digital format and get lost on CDs, USB or in digital folders that are rarely opened,
>Sharing methods are impractical (WeTransfer, WhatsApp, etc.).
>The security of miners' data and photos is a major issue that is rarely addressed on platforms such as Google Drive or Facebook.
With PhotoScout, we offer staff a simple, fast and secure way to (re)share these special moments with their children and parents, through a free digital platform and printed souvenir albums.
"Created by scouts, for scouts": right from the start, PhotoScout has been evolving to meet the demands of its users. We'll let you have your say about future features!
Share your ideas with us here https://photoscout.kampsite.co/ or vote for those proposed by other users!
We've created an explanatory PDF for you to download and share with the parents of the youngs (via the camp notebook, an email, etc.).
Our tip: personalise the document by adding a the secret code that parents can use to access the photos directly.
Find the document by clicking HERE (FR + EN)
